Sales Administrator/Intern Manager

Summary

The Sales Administrator/Intern Manager is an integral role within our Sales force. The Sales Administrator provides essential support to our Sales Directors and Sales Consultants by facilitating the operational and administrative responsibilities associated with our travel bookings ensuring the delivery of exemplary customer service and a superior product.  The Sales Administrator/Intern Manager is also responsible for recruiting, training and management of the sales team’s intern work schedules, when applicable, to ensure a positive and rewarding experience for all parties.

 

Job Duties

Management Support

  • Creation of Sales Training Manuals for new hires
  • Manage strategy for Recruitment Project within local Post-Secondary Institutions, attend all Career Fairs as a representative of Kensington Tours
  • Collect data from TMT for monthly, quarterly and annual Consortia Reports
  • Product Content Project: Ongoing revision and review of product service descriptions
  • Enter Saturday Schedule into TMT Announcements
  • Edit and Develop Email Templates in TMT as necessary
  • Update and edit Travel Agency information as needed
  • Other projects as assigned

Sales Support (Ongoing)

  • Sales floor support for TMT related questions
  • Facilitate follow ups and send out various travel documents on behalf of Sales Consultants

Sales Support (Relief tasks in periods of Intern absence)

  • Entering agent requests into the database for the appropriate department to action (stacking)
  • Importing and assigning of leads for the various sales teams when required by Region Director
  • Printing and assembly of Travel Packs and Binders
  • Preparing packages for Purolator as needed if receptionist is not available
  • Assemble kits for Outside Sales (Jane Doe’s)
  • Label, sign, and mail out postcards
  • Reception duty when necessary

Intern Management (Relief Support)

  • Recruit, interview and train all incoming interns (TMT, Outlook, Skype, Company Overview)
  • Manage Interns work schedules and train them on administrative functions
  • Provision of training on assembly and delivery of support materials for customers
  • Provide support and ensuring workloads and internship expectations are being managed and delivered
  • Facilitation of post-internship documentation and performance reports
  • Assist and represent company at Career Fairs
  • Facilitate Day-in-the-Life Meetings for Interns
  • Provide  1-1 meetings with Sales Interns to monitor development and growth throughout internship
  • Supervise Sales Interns directly  

 

Skills Required

  • Previous experience with administrative / sales support functions an asset
  • Previous experience managing or overseeing the work direction of others
  • Demonstrated ability to coach, mentor and train
  • A positive, professional and friendly manner
  • Exceptional telephone manner and interpersonal skills with the ability to provide exemplary customer service in all situations to both internal and external clients
  • Excellent organization and communication skills (both verbal and written), with an ability to work well under minimal supervision                 
  • Ability to manage multiple projects and work in a fast-paced team environment
  • Superior attention to detail with emphasis on accuracy and quality
  • Self-motivated team player with a positive, “can-do” attitude and demonstrated work ethic
  • Punctual, reliable, dependable, takes ownership of the role
  • Intermediate to advanced computer skills, comfort with technology and varying databases
