Event Manager

Worldview Travel comprises leisure, corporate and specialty travel divisions and is a recognized leader in the industry.  Worldview Events, a business unit branch of Worldview Travel, Inc. (“WVT”), designs and manages full service corporate group travel incentive programs, meetings and conferences, and some exposition services as third-party consultants.

ROLE OVERVIEW:

Supporting the overall North American Team and reporting to the Worldview Events Director, the Event Manager is in charge of overseeing corporate client program success for MICE programs to ensure satisfaction, smooth event execution, and communication among WVT departments as the event’s primary project manager and the client’s primary point of contact. This position will require management of the event from concept to completion, team members of varying levels of experience and skill, vendor partnerships, client budgets, and timelines. The Event Manager will need to support sales and business development efforts by building and maintaining strong client relationships. The successful candidate will support program proposals, assembling project status reports, and the management of operational event requirements. Creativity, enthusiasm, dedication to customer service, attention to detail, and professionalism at all times will be key expectations for this role.

The Event Manager will be expected to work with the Sr. Event Manager, Director, and other roles to design and deliver on time, on budget, and beyond client expectation.

 

RESPONSIBILITIES INCLUDE:

Project Management and Coordination -

  • Program planning, execution, task management, vendor relations, administrative, upkeep and status reports
  • Timeline management
  • Budget management – plan to the budget / notify director of status
  • Coordinate facilities requirements, function orders and logistics
  • Client reporting – event status, post event reports
  • Developing and managing program budgets (zero-based and historical), reconciliation, and event income and expenses
  • Oversee overall project execution, performance, and profitability

Client Relations -

  • Ascertaining client needs and services required
  • Client account relations management as key point person
  • Developing client program proposals and program design

Site Selection –

  • Manage site selection and site inspections
  • RFP development and distribution
  • negotiations and communications
  • bids analysis
  • contract review

Event Planning -

  • Housing, air and ground travel management in partnership with agent team (air)
  • Special event, tours and activities research and coordination
  • Menu planning and management
  • Registration and communications management via Cvent

KEY SUCCESS ATTRIBUTES:

  • Minimum 3 years professional event management experience (full time dedication)
  • Strong background in program management and execution
  • Bachelor’s Degree
  • Memberships in and attendance at key industry events annually are expected and are covered by the department. Example organizations include MPI, SITE, PCMA
  • Strong problem-solving and management through stressful situations
  • Working experience with Cvent sourcing and event management platform(s)
  • Knowledgeable of facilities management, audio-visual, room layouts and design
  • Understanding of production, staging, and on site execution
  • Ability to plan and design menus for events
  • Proven experience sourcing vendors and managing the vendor relationship
  • Contracting, negotiations, and compliance experience, an asset.
  • Ability to assess and manage risk (emergency planning)
  • Working experience with event budgeting and financials
  • Ability to complete evaluations, reporting and analysis
  • Leadership and strong interpersonal skills
  • Outstanding written and oral communications skills
  • Working knowledge of Excel, Power Point, Word and cloud-sharing programs
  • Understanding of social media in event settings
  • Willing and able to travel extensively and for long periods of time
  • Commitment to working required hours (above and beyond normal business hours) to ensure events are successful
